How do I export citations for ARTstor images?

Once you have found images by searching or browsing in ARTstor, you might want to cite them in a research paper and then list them in the accompanying bibliography. ARTstor has developed tools to allow you to export bibliographic citations for any image, which include the following information: Creator/Artist, Title, Date, Repository, ARTstor Image ID number, and a stable URL. You can save citations for individual images, or for an entire Image Group that you have already saved in ARTstor. This list of citations can then be inserted into bibliographies, or shared as a group to form a virtual “playlist” of ARTstor images. In all cases, clicking on the stable URL will open that image in the ARTstor Image Viewer, provided that you are within the valid IP range for your institution.

First, you will want to select the images whose citations you would like to export. Perform a search (see: "How do I search for images?") or open an Image Group (see: "How do I open an Image Group"), so that a set of images is displayed on the Thumbnail Page.

  • Selecting individual images: Single-click with your mouse on the desired image(s). Then, go to the "Image Groups" toolbar menu and select the “Save selected images as citations” option.

  • Selecting an entire Image Group: First, open up your Image Group (see: "How do I open an Image Group"). Once the group is displayed on the Thumbnail Page, go to the "Image Groups" toolbar menu and select the “Save group’s images as citations.”

In both cases, you will get a confirmation message that the selected images were saved as citations. Click on the "OK" button in the window. You may continue to add items to your saved citations by repeating either of the steps listed above.

Note: Both options for saving images as citations are also available from the right- (or "Control-") click shortcut menu.

After you have saved all the desired images as citations, you can view these citations by clicking back on the "Image Groups" toolbar button and selecting the "View saved citations" option. This option is also available from the "View" toolbar menu , as well as the right- (or "Control-") click shortcut menu.

This will open a new browser window that contains a list of your saved citations, as well as thumbnails of all the images in your list. Review this list of your "ARTstor Saved Citations" to determine whether these are the images that you would like to export as bibliographic citations.

  • Removing images from list: If you discover that there are a few images that you do not need on this list, click into the checkboxes next to each unwanted image. If you want to select all the images, click on the "Select All Citations" link at the top of the page. If you want to deselect your selections, click on the "Deselect All Citations" link, also at the top of the page. Once you have made your selections, click on the "Remove Selected Citations" link at the top of the page. You will be asked to confirm whether you want to delete these selected citations from your list. Click on the "OK" button to confirm the deletion.

  • Removing all images from list: If you would like to purge your entire list of saved citations, click on the "Remove All Citations" link at the top of the page. You will be asked to confirm whether you want to delete all of your saved citations. Click on the "OK" button to confirm the deletion.

  • Adding images to the list: If you would like to add additional images to the list, close down the browser window so that you are back within the ARTstor Digital Library. Repeat steps #1-2, selecting new images, saving them as citations, and then re-opening the "ARTstor Saved Citations" page. Your new selections will be added to the list.

After reviewing your list, you have several choices for how to export your image citations.

 

4a.

Email Citations

If you would like to email the list of saved citations to yourself, or someone else, click on the "Email citations" link listed under "Export Options" at the top of the "ARTstor Saved Citations" page. You will be prompted to enter your Email Address and the Recipient's Email Address. The default Subject line is "ARTstor Citations," though you may edit this field. At the top of the form, you can choose the export format for your email, whether "printer-friendly" or "tab-delimited." You also have the option to fill in a notes field, as well as a checkbox to include a copy of the citations as an attachment to the email.

 
Before sending your email, you may preview your message by clicking on the "Preview" button at the bottom of the form. Once you are ready to send your message, click on the "Send" button. You will get a confirmation that your "email has been sent successfully" at the top of the page. Click on the "Close" button to return to the list of "Export Options."

 

 

4b.

Direct export to citation management software

If you use citation management or personal bibliographic software such as EndNote, ProCite, or Reference Manager, you can export ARTstor image citations directly into these programs. Please note that in order to use this feature, you will need to save a dedicated filter into the program files for that particular software on your computer. If you do not have this filter you may download them from the following locations:

Note: ARTstor is currently working with several other softwares, such as RefWorks, to implement this direct export.

 
Once you are ready to export your citations, click on the link to "Directly export citations into EndNote, ProCite, or Reference Manager" listed under "Export Options" at the top of the "ARTstor Saved Citations" page. This will launch a small window that asks you whether you would like to open or save the file. Click on the "Open" button. Depending on which citation management software program you have installed on your computer, doing so will automatically launch either EndNote, ProCite, or Reference Manager.

 

 
Your computer's directory will open, prompting you to select a library or bibliographic database that you have already created to import these new citations. After making your selection, a new window will open, asking you to choose a filter. If you have saved the ARTstor filter to the appropriate location, you will be able to scroll down the list and find one entitled "ARTstor." Once you select the filter, your library/bibliographic database will open with your new citations imported directly from ARTstor.

 

4c.

Download citations

If you prefer to save your citations as a file and download them from ARTstor, you can use the "View and Save Citations" option listed in the "Export Options" section of the "ARTstor Saved Citations" page. First, select the preferred export format for your citations, whether "printer-friendly" or "tab-delimited." Once you have made your selection, click on the "View" button to the right of the export format menu. This will launch your list of citations in a new browser window.

 

 
Within this browser window, you can go to the "File" toolbar menu and choose the "Save As..." option. This will open your computer's directory, prompting you to choose the location where you would like to save your file. While the default file name is "ARTstor Citations," you may choose to rename your file. You are also given the option to choose a file format for your saved citations. In most cases you will want save them in a text file (.txt). This is a convenient format for cutting and pasting text into other documents. Also, if you chose to download your ARTstor citations in the "tab-delimited" format, this text file can then be easily imported into a spreadsheet created in Microsoft Excel or similar programs.

 
Note: Using the "File" toolbar menu in this browser window, you can also select the "Print" option to print a hard copy of your ARTstor citations.
